MediatorSPARK, Inc. ("we", "our", or "us") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our website, take one of our quizzes or scorecards, subscribe to our communications, or speak with us. It applies to:

• Any lead forms, quizzes, scorecards, or booking pages we run through third-party platforms such as ScoreApp and GoHighLevel

This policy covers our website, marketing, and general business interactions. If your school or district works with us under a signed services agreement, that agreement governs how we handle school and student data.

1. Information We Collect

• Name
• Email address
• Phone number
• IP address and general device and usage information
• Quiz and scorecard responses
• Notes, recordings, and transcripts from calls and meetings you have with us, where recording applies (see Section 4)

2. How We Use Your Information

• To provide your quiz or scorecard results
• To respond to inquiries and follow up on your interest in our services
• To send marketing emails, updates, and educational content you have opted into
• To take accurate notes and follow up after calls and meetings
• To operate, measure, and improve our website and services

3. AI-Assisted Processing

We use artificial intelligence tools to help run our business. These tools assist with tasks such as preparing notes and summaries, transcribing calls, drafting communications and content, and research. The AI services we use for this are Anthropic (Claude) and Google (Gemini). A member of our team reviews AI-generated output before it is relied upon or sent; AI does not make final decisions about you on its own.

4. Call Recording and Transcription

We record and transcribe many of our calls and video meetings, including sales, coaching, and support calls, so we can take notes, follow up accurately, and improve our service, including through AI-assisted note-taking tools. We provide notice at the start of a call when it is being recorded, such as a verbal notice or an in-meeting recording indicator, and you may decline. If you prefer not to be recorded, tell us and we will continue the call without recording. If you continue with the call after we provide that notice, you consent to being recorded. Calls are typically conducted over Google Meet, and recordings and transcripts are stored within our Google Workspace and customer-management systems.

5. How We Share Your Information

We share personal information only with trusted service providers that help us operate our business, communicate with you, and deliver our services. These include:

• Google (Google Workspace, Drive, Sheets, Docs, Calendar, Google Meet, and Gemini) for email, file storage, video calls, and AI-assisted processing
• Anthropic for AI-assisted processing as described above
• GoHighLevel for CRM, marketing automation, and lead management
• ScoreApp to deliver our quizzes and scorecards
• Vercel for website hosting
• Amazon Web Services (AWS) for application hosting and data backups
• Intuit / QuickBooks Online for billing and accounting
• ClickUp for internal project and task management
• Email delivery and verification providers, including ZeroBounce and the email services within GoHighLevel and ScoreApp, to send and validate email

We do not sell your personal information.

6. Data Retention

We retain your personal information until you ask us to delete it or you unsubscribe. Your information may be stored on the platforms listed above and on our own systems.

7. Your Rights

You may:

• Opt out of marketing emails at any time using the "unsubscribe" link in any message, or by contacting us
• Request deletion of your information by emailing support@mediatorspark.com

We may need to retain certain information to meet legal obligations or complete transactions you began before your request.

8. Cookies and Tracking Technologies

Our website, www.mediatorspark.com, does not set advertising or analytics cookies. Some pages hosted by our third-party providers (for example, our quizzes and booking pages on ScoreApp and GoHighLevel) may set their own cookies to make those tools work; those are governed by the provider's settings and your browser preferences. You can manage cookies through your browser settings.

9. Children's Privacy

Our website and services are intended for educators, administrators, and other adults. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

We take reasonable precautions to protect your information. No online system is completely secure, and we cannot guarantee absolute security.
